This privacy policy provides information to our clients on how your business and sensitive information is used or Managed by Vibe Group.

Our Policy

Vibe Group will not collect, store or access any information about your business outside of what is required to manage your IT Services while you have a support agreement in place with us. Our only purpose for collecting and using any information about your practice is so that Vibe Group can provide Managed IT Services as per our contractual agreements with you. We only use this information for business activities, such as financial claims and payments, practice audits and accreditation, and business processes (eg staff training).

What information do we collect?

The information we will collect about your business may include:

  • Your Business Details
  • Your staff list and contacts
  • IT Hardware and Software information
  • Account details required to provide and support your Managed IT Services

How do we collect your information

Vibe Group may collect your information in several different ways.

  1. When you sign up to a support agreement or service with us via your registration documentation
  2. During the course of providing IT services via our auditing or management software
  3. We may also collect your personal information when you visit our website, send us an email or SMS or telephone us

Data Confidentiality 

All information that Vibe Group access in the process of providing IT Services is kept private and confidential at all times.

Data Sharing

Vibe Group will not disclose or share your private information with any third party:

  • Unless required to by the law
  • Where there is a statutory requirement to share
  • Unless requested to and authorised by you

Only people who need to access your practice information will be able to do so. Other than in the course of providing IT Services or as otherwise described in this policy, Vibe Group will not share personal information with any third party without your consent.

We will not share your personal information with anyone outside Australia (unless under exceptional circumstances that are permitted by law) without your consent.

How we store and protect your personal information

Your business information may be stored by Vibe Group for the purposes of providing IT Services as described in this policy. All information is stored securely and protected by encryption and two factor authentication where possible. All information is stored securely at Vibe Offices and Data Centers in Australia.

Vibe Private Cloud 

Vibe Private Cloud Data is stored in our Australian Data Centres which are Tier IV, ISO 27001/9001 certified. Find out more information here.

Any data taken out of these facilities (for backup/data protection purposes only) is fully encrypted in transmission and at rest.

E-Waste

Vibe Group can provide E-Waste disposal and recycling when required. All private data is erased and destroyed prior to any recycling activities.

Vibe Group have a policy of destroying hard disk/data storage drives at all times and any recycled components will exclude data storage devices.

Privacy Complaints Process

We take complaints and concerns regarding privacy very seriously. You should express any privacy concerns you may have in writing or via email through our contact us form. We will then attempt to resolve it in accordance with our resolution procedure within 30 days.

Website Privacy

Vibe Group uses website analytics and cookies to improve and manage our website. Any information captured is used for this purpose only.

Any information submitted through website forms or queries is SSL encrypted at all stages to protect your information.

Vibe Group is dedicated to maintaining industry best practice privacy and security policies. In accordance with this we will regularly review this policy to ensure it is in accordance with any legislative, business and medical changes that may occur.
